Medical Virtual Assistant – Remote Full‑Time

About the role

We are seeking a Remote Medical Virtual Assistant to support a growing outpatient physical‑therapy practice. The role is full‑time and permanent, handling front‑end patient workflows such as insurance verification, prior authorizations, intake, scheduling, and lead conversion. You will ensure smooth clinic operations and a high‑quality patient experience.

Key responsibilities

• Verify patient insurance eligibility using payer portals (e.g., Availity, UHC, Humana).
• Obtain and track prior authorizations, escalating any coverage issues.
• Complete full patient intake, ensuring accurate demographics and insurance details.
• Manage inbound leads, convert inquiries into scheduled appointments, and conduct outbound follow‑ups.
• Confirm appointments 24–48 hours in advance, handle rescheduling, and optimize the schedule.
• Reactivate inactive patients, verify insurance before outreach, and track outcomes.
• Process referrals, upload documentation to the EMR, and follow up on missing information.
• Support billing outreach and assist with task management tools such as Asana.

Required profile

• Highly organized with the ability to thrive in a fast‑paced, high‑volume environment.
• Strong communication skills for phone, text, and email interactions with patients.
• Detail‑oriented and capable of maintaining accurate records.

Required skills

• Experience with EMR systems.
• Proficiency in using Asana for task management.
