Medical Scheduler – Patient Scheduling & Support

About the role
We are seeking a reliable and compassionate Medical Scheduler to join our team in Las Vegas. The role supports our mission to provide quality mental health care by managing referrals, insurance verification, and appointment scheduling.
Key responsibilities
- Process referrals directly from clients' insurance using established protocols.
- Review and maintain complete, up‑to‑date client information.
- Verify and update insurance details for existing patients.
- Call patients with insurance authorization to schedule therapy sessions.
- Answer phone calls, respond to inquiries, and resolve complaints professionally.
- Identify patient needs, provide solutions, and handle service‑related complaints.
- Escalate priority issues to senior management when necessary.
- Document call notes, update reports, and maintain the team database.
- Obtain and evaluate data to address queries and complaints.
- Engage in ongoing training and research on therapist specializations and availability.
- Keep service information current and ensure billing documents are up‑to‑date.
- Efficiently multitask across multiple programs within the database.
- Communicate assertively with therapists to ensure excellent customer service.
Required profile
- Medical office experience with strong multitasking ability.
- Demonstrated empathy and compassion when serving patients.
- Excellent telephone, texting, and email communication skills.
- Familiarity with front‑office procedures and insurance verification.
- Basic knowledge of medical terminology, HIPAA, and PHI.
- Experience with electronic medical records systems.
- Proficiency in MS Word, Excel, Google applications, and general computer use.
- Ability to quickly learn and adapt to new software programs.
