Marketing & Operations Coordinator (Part-Time, AI-Focused)

About the role

Sweet Vegan Chocolates is seeking a proactive Marketing & Operations Coordinator to support both growth initiatives and day‑to‑day business functions. This part‑time, on‑site role offers hands‑on experience across marketing, content creation, partnerships, and operational coordination in a fast‑moving consumer brand.

Key responsibilities

• Assist with marketing campaigns, partnerships, and promotional initiatives.
• Draft, edit, and schedule newsletters, emails, and other customer communications.
• Support social media planning and content creation, including photo and video shoots.
• Use AI tools to generate content drafts, visuals, creative concepts, and lifestyle imagery.
• Maintain calendars, project timelines, and internal task trackers.
• Coordinate ongoing business initiatives and special projects.
• Handle customer inquiries and routine administrative tasks.
• Organise documents and workflows to keep projects on track.
• Provide day‑to‑day operational support to leadership.

Required profile

• 2–4 years of experience in marketing, business operations, project coordination, e‑commerce, or related roles.
• Background in consumer brands, food & beverage, e‑commerce, agencies, startups, or hospitality.
• Strong organisational and project‑management abilities with the capacity to juggle multiple priorities.
• Excellent written communication and meticulous attention to detail.
• Self‑starter who can solve problems independently and follow through with minimal supervision.
• Effective research skills for gathering and summarising information.
• Availability to work on‑site in Harlem, NYC, 15–20 hours per week.

Required skills

• Experience with AI tools such as Claude, ChatGPT, Notion AI, Gemini, or Perplexity.
• Proficiency in Google Workspace (Docs, Sheets, Drive).
• Familiarity with Notion for project management.
