About the role
We are seeking a hands‑on, organized, service‑oriented HR & Office Administration Coordinator to manage day‑to‑day HR administration and keep our Blue Ash office running smoothly in a growing aerospace and defense software company.
Key responsibilities
- Own day‑to‑day HR administration across the employee lifecycle, including onboarding, offboarding, employee changes, personnel records, and employee files.
- Maintain employee information and HR processes in Paylocity and coordinate payroll processing with Finance to ensure accuracy and timeliness.
- Coordinate benefits administration with third‑party consultants, manage annual enrollment and employee communications.
- Serve as the primary internal point of contact for employee questions on payroll, benefits, policies, and HR processes.
- Support workers’ compensation, leave administration, HR policies, required documentation, and recurring people processes such as annual performance reviews.
- Coordinate recruiting activities, work with external recruiters, schedule interviews, and support offer and onboarding processes.
- Support day‑to‑day office operations, coordinate vendors, supplies, equipment, and facilities‑related needs.
- Manage relationships with administrative vendors and service providers, and help coordinate company meetings and employee events.
- Document recurring HR and administrative procedures, identify opportunities to simplify workflows, and help establish scalable processes.
Required profile
- 2–4 years of experience in HR, People Operations, HR coordination, or a similar role.
- Hands‑on experience with payroll, benefits administration, onboarding/offboarding, employee records, and general HR administration.
- Experience with an HRIS or payroll platform; Paylocity experience is a plus.
- Ability to work independently with limited supervision and know when to escalate complex matters.
- Strong organization, attention to detail, and ability to manage multiple priorities.
- Sound judgment and discretion handling confidential employee information.
- Strong interpersonal and written communication skills with a service‑oriented approach.
- Comfort operating in a small‑company environment, wearing multiple hats, and helping build processes.
- Bachelor’s degree preferred; SHRM or similar HR certification is a plus.
