Hospitality Events Coordinator

About the role

The Hospitality Events Coordinator supports the Client Events team by driving hospitality‑focused initiatives across the retail network. This role manages gifting programs, seasonal treat rollouts, and supplies for store hospitality ambassadors while contributing to high‑touch client events.

Key responsibilities

• Research, source, and recommend client gifting, seasonal treats, and hospitality gestures that align with brand standards.
• Manage annual and key‑moment treat rollouts, coordinating vendors, placing orders, tracking deliveries, and communicating updates to stores.
• Schedule and facilitate bi‑monthly hospitality calls with store ambassadors to share best practices and gather feedback.
• Maintain hospitality guidelines, trackers, and reference tools to ensure consistent service quality.
• Support the creation and implementation of new hospitality concepts that enhance client engagement and retention.
• Replenish hospitality ambassador supplies, including beverages, activity kits, and other materials.
• Coordinate hospitality elements for high‑touch events such as florals, treats, gifting, and guest‑facing details, ensuring seamless execution with vendors.
• Oversee vendor contracts, invoice processing, spending records, and event inventory.
• Create post‑event recaps, archive photos and communication assets, and update internal channels with event write‑ups.
• Conduct competitive analysis and research on client experience and hospitality trends.

Required profile

• Background in hospitality operations or event coordination.
• Experience working with internal teams and external vendors.
• Strong organizational abilities and attention to detail.
