Graduate Coordinator – Environmental Sciences

About the role

The Department of Environmental Sciences (DES) in the College of the Coast and Environment seeks a Graduate Coordinator to serve as the primary liaison between faculty, graduate students, and the Graduate School. This professional, unclassified position supports all aspects of graduate program administration.

Key responsibilities

• Coordinate recruitment and admissions processes, including preparing program materials, responding to prospective student inquiries, managing the Slate applicant system, compiling application packages for faculty review, tracking decisions, and issuing acceptance notifications.
• Maintain and manage graduate student records, monitor academic progress, and oversee graduation and defense logistics such as deadlines, required forms, defense scheduling, and communication with faculty and the Graduate School.
• Support administration of professional and online graduate programs by handling applicant inquiries, reviewing applications for deficiencies and transfer credits, and monitoring student progress.
• Coordinate course scheduling and curriculum logistics with faculty and the department chair, including managing course listings, teaching assignments, room scheduling, enrollment adjustments, and maintaining course records and syllabi.
• Facilitate communication across faculty, staff, and students through development and maintenance of program materials and shared email accounts.

Required profile

• Experience coordinating graduate admissions and student records management.
• Ability to liaise with faculty, graduate students, and the Graduate School to ensure compliance with institutional policies and timelines.
• Strong organizational skills for managing multiple administrative processes simultaneously.

• Proficiency with the Slate applicant tracking system.
