Global Logistics Specialist – Export Documentation

About the role

We are seeking a Logistics Documentation Specialist to coordinate outbound transportation and prepare accurate export documentation. The role acts as a liaison between vendors, carriers, distribution centers, and internal teams to ensure shipment integrity, system accuracy, and compliance with U.S. export regulations.

Key responsibilities

• Coordinate ocean and domestic transportation for shipments from U.S. distribution centers or vendors, booking carriers and validating routing, rates, and load dates.
• Monitor shipment movement, address delays or exceptions, and communicate status to stakeholders.
• Create, link, and update shipment transactions in Transportation Management Systems (TMS) and internal logistics platforms.
• Maintain organized electronic records for audit and compliance, and prepare export shipping documents such as Bills of Lading, Commercial Invoices, and Packing Lists.
• Ensure compliance with U.S. export regulations, internal SOPs, and company policies; identify and escalate discrepancies.
• Track shipment milestones, maintain logs and reports, and support process‑improvement initiatives.

Required profile

• 3–5 years of experience in transportation coordination, logistics, or export documentation.
• Working knowledge of U.S. export documentation and shipping processes.
• Experience with Transportation Management Systems (TMS) and logistics platforms.
• Strong proficiency in Microsoft Excel and other Microsoft Office applications.
• High attention to detail and ability to manage multiple tasks simultaneously.
