Genetic Counseling Assistant

About the role

The Genetic Counseling Assistant (GCA) provides essential administrative and scheduling support to the Oncology Genetics Counseling Clinic at the UT Medical Center Cancer Institute. Working closely with a Genetic Counselor, the GCA helps ensure patients receive smooth, compassionate care throughout their genetic risk assessment journey.

Key responsibilities

• Prepare pre‑visit materials: collect medical records, lab reports, draft pedigrees, test requisition forms, and visit notes.
• Handle routine correspondence, including letters of medical necessity, insurance pre‑authorizations, and verification.
• Draft referral letters for physicians and patients.
• Communicate with laboratories to obtain test information, status updates, and supplies.
• Scan and upload genetic results into Powerchart EMR.
• Coordinate and schedule meetings and multidisciplinary conferences for the Genetic Counselor.
• Assist in clinic with genetic testing paperwork, packaging, and shipping.
• Maintain databases of genetic testing results and counseling referrals.

Required profile

• 1‑3 years of related experience in a medical or healthcare setting.
• Familiarity with medical terminology, records, test requisitions, and pathology reports.
• Strong organizational and multitasking abilities with a focus on prioritization.
• Professional, service‑oriented customer service skills.

Required skills

• Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
• Experience using web‑based applications and electronic medical record systems (Powerchart).
