About the role
This position ensures that every brand within a multi‑state roofing and exteriors group maintains current contractor licences and certificates of insurance. Reporting directly to the VP of Compliance, you will manage the renewal calendar, prepare application packets and verify COIs, working independently during US Eastern business hours.
Key responsibilities
- Own the renewal calendar for the corporate entity and all brands, tracking due dates and initiating long‑lead items such as insurance limits, bonds, continuing education and entity good standing.
- Prepare and file complete license applications and renewals for state and local jurisdictions, ensuring correct legal entity names, trade names and supporting documents.
- Send, upload and verify Certificates of Insurance (COIs) to licensing offices and brand markets, confirming receipt and compliance with required coverage, limits and wording.
- Answer licensing questions, research unfamiliar jurisdictions and keep the team updated on changing corporate, state and federal requirements.
- Maintain accurate, organized records and provide administrative support to the VP of Compliance.
Required profile
- Minimum 2 years of experience in license management, regulatory compliance or insurance certificate administration.
- Hands‑on experience preparing or filing applications or renewals with US state, county or city agencies.
- Proven ability to read and interpret Certificates of Insurance, including limits, endorsements and certificate holder requirements.
- Excellent written and verbal English for daily communication with agencies, brand managers and leadership.
- Reliable high‑speed internet and a professional remote‑work setup, available Monday‑Friday during US Eastern business hours.
Required skills
- Microsoft 365 suite – Outlook, Word, Excel, Teams, SharePoint and OneDrive.
- Adobe Acrobat or a comparable PDF tool for completing and combining application packets.
- Experience with a COI tracking platform (e.g., myCOI, TrustLayer, SmartCompliance).
- Proficiency navigating state licensing board portals and municipal permitting systems.
