Client Services Assistant – Front Office

About the role

We are seeking an experienced Client Services Assistant to be the first point of contact for clients of a boutique law firm in Lutherville, Maryland. The role blends front‑office hospitality with administrative support, ensuring attorneys can focus on legal matters while clients receive courteous, attentive service.

Key responsibilities

• Welcome clients and visitors, creating a professional first impression.
• Coordinate meetings, appointments, and track deadlines for attorneys and estate‑related matters.
• Communicate with accountants, financial advisors, and other external contacts to support case progression.
• Assist with probate documents, correspondence, and interactions with wills and estate offices.
• Prepare billing materials, record payments, and process routine deposits accurately.
• Support trust tax return workflows and related payment activities.
• Maintain organized records, update task trackers, monitor deadlines, and manage document inventories.
• Process incoming mail and digital files by scanning, sorting, and filing.
• Handle office operations including supply management, opening/closing duties, and periodic file review.

Required profile

• Minimum 5 years of experience in administrative, reception, or office support roles.
• Strong organizational ability with meticulous attention to detail.
• Clear written and verbal communication skills; confident in client‑facing situations.
• Proven discretion handling sensitive information.
• Reliable work habits and proactive approach to team priorities.
• Patience and empathy when assisting older clients.
