About the role
We are seeking an Administrative Assistant to provide daily support to Managing Directors and Directors in New York. The role involves managing calendars, coordinating meetings, handling travel arrangements, and ensuring smooth office operations.
Key responsibilities
- Maintain and organize busy executive calendars, schedule meetings, and greet visitors.
- Coordinate conference rooms, meal arrangements, and handle phone inquiries.
- Arrange complex travel itineraries, including flights, hotels, car rentals, and provide directions.
- Prepare and process expense reports and reimbursements.
- Draft, proofread, and format letters, memoranda, presentations, and reports.
- Provide core administrative tasks such as faxing, filing, copying, and ad‑hoc project support.
Required profile
- College degree or equivalent experience.
- Ability to work in a fast‑paced environment and interact with senior management.
- Excellent organizational, time‑management, and communication skills.
- High attention to detail and ability to handle multiple assignments accurately.
- Self‑starter who can work independently with minimal guidance.
