Accounts Payable Analyst

About the role
Paperchase Accountancy is seeking an Accounts Payable Analyst to join its specialist hospitality finance team. You will own the full AP cycle for a portfolio of restaurant clients, ensuring accurate invoice processing, timely payments and clear communication with vendors and clients.
Key responsibilities
- Manage end‑to‑end AP for assigned clients: invoice coding, posting accuracy, aging review and payment execution.
- Prepare and circulate AP aging reports, obtain client approvals and process ACH, check or online payments.
- Request, collect and reconcile vendor statements; resolve discrepancies and clear debit balances.
- Collect vendor W‑9s and support year‑end 1099 preparation.
- Serve as primary AP contact for client and vendor inquiries, providing professional and solution‑oriented responses.
- Collaborate with account management and India back‑office on shared deliverables and month‑end close.
- Flag cash‑flow risks, duplicate payments or unresolved items and maintain audit‑ready documentation.
- Perform three‑way matching (PO, receipt, invoice) before payment release.
- Support month‑end close by ensuring the AP sub‑ledger is complete and reconciled.
- Assist with accruals and AP‑related journal entries in coordination with senior accountants.
- Monitor vendor payment terms and identify early‑payment discount opportunities.
- Identify and implement workflow improvements to reduce processing time and strengthen internal controls.
Required profile
- 1–3+ years of AP experience; hospitality or restaurant background is a strong plus.
- Solid AP fundamentals: invoice coding, vendor reconciliation, aging analysis and payment processing.
- High attention to detail with the ability to manage multiple clients and high transaction volumes.
- Strong Excel skills, including VLOOKUP and related functions.
Required skills
- Proficiency in QuickBooks (required).
- Experience with R365 (advantage).
- Advanced Excel skills.
