About the Role
Join Your Startup Operations, a boutique agency dedicated to empowering small businesses across the United States. We are looking for a proactive, highly organized, and resourceful Virtual Receptionist to act as the backbone of our construction and real estate clients' operations.
Main Responsibilities
- Client Relations: Serve as the primary point of contact, managing incoming calls and inquiries with professionalism to ensure a premium client experience.
- Scheduling & Coordination: Book estimates, coordinate site visits, and optimize field itineraries for maximum efficiency.
- Pipeline Management: Follow up with previous prospects to maintain an active sales pipeline and drive growth.
- Administrative Support: Manage the owner's calendar, organize daily tasks, and ensure seamless business continuity even in their absence.
- Operations & Logistics: Transform site measurements and notes into professional quotes/proposals, and coordinate crew availability and temporary labor to ensure all job sites are covered.
Candidate Profile
- You are a self-starter who anticipates problems before they arise rather than waiting for instructions.
- You possess a strong understanding of the construction or real estate development industry.
- You have a proven track record of supporting small business owners or founders.
- You are detail-oriented, tech-savvy, and comfortable managing complex schedules.
Required Skills
- Minimum 2 years of experience as a Virtual Assistant or Administrative Professional.
- At least 2 years of experience working with clients in the US, UK, Canada, or Australia.
- Professional-level fluency in written and spoken English.
- Proficiency with CRM tools and the ability to quickly master new software.
- Reliable high-speed internet connection with a mandatory backup solution.
