Venue Sales Coordinator

About the role

The Venue Sales Coordinator supports venue sales execution and event delivery by managing client onboarding, event documentation, logistics coordination, and on‑site execution support. This role bridges sales, operations, and venue teams to ensure events are delivered accurately and on time.

Key responsibilities

• Research event details, field venue inquiries, and support sales staff with proposals, pricing, and contract closure.
• Onboard new venue rental clients, process contracts, create event files, and manage payment timelines.
• Develop event timelines, vendor run‑of‑show documents, and create/broadcast BEOs with floor plans, vendor details, and inventory counts.
• Attend operations meetings, coordinate with Facilities and Event Operations, and oversee venue opening, vendor load‑ins, and on‑site support.
• Schedule security services, maintain linen inventory, and assist with vendor program fees and invoicing.
• Collaborate with Mixology and Cocktail teams on menu ingredients, pricing, and descriptions.
• Assist with daily facility upkeep, maintenance requests, and pre/post‑event walkthroughs.
• Monitor inventory levels, restock supplies, and coordinate day‑of‑event logistics for rentals and equipment.

Required profile

• Minimum 2 years experience in venue coordination, event planning, hospitality, or customer service.
• Experience in fast‑paced, deadline‑driven environments.
• Intermediate proficiency with Google Workspace, Microsoft Word, Microsoft Excel, and accounts‑receivable processes.
• Valid driver’s license and ability to pass background checks.
• Required certifications: RBS, Food Handler Card, OSHA aerial‑lift certification.
