Specialty Scheduler – Healthcare Scheduling

About the role

The Howard Head Sports Medicine scheduler will be the first point of contact between patients, MD offices, and therapy offices, expediting referrals and enhancing the patient experience throughout their episode of care.

Key responsibilities

• Answer incoming phone calls, take complete messages, prioritize and redirect calls, and monitor incoming referrals.
• Coordinate logistics among patients, referring providers, insurance, interpreting services, and the clinic.
• Call potential patients to explain expectations, insurance benefits, education, directions, and check‑in times; send follow‑up email if unreachable.
• Create accurate pre‑registration accounts for all scheduled appointments.
• Schedule therapy appointments, track re‑evaluation and follow‑up visits, and monitor authorizations for continued care.
• Perform PAR tasks such as paperwork preparation, review, scanning, insurance benefits verification, and follow‑up scheduling; cover phone tree and front desks as needed.
• Participate in regular meetings with HHSM team leads and physician groups to foster relationships.
• Track referral capture rates and model Just Culture principles.
• Perform other duties as assigned while maintaining HIPAA compliance.
