Recruitment Operations Manager (Tech & Philanthropy)
eqltech · San Francisco
Job description
About the role
EQL Tech is an executive search firm focused on tech and philanthropy, working exclusively with mission-driven organisations such as foundations, frontier tech companies and startups. It is building the operational backbone of the firm and needs someone to own process, systems, data and candidate experience end to end, turning a founder-led practice into a repeatable, high-quality operation. The role works directly with the founder and a senior team, with hybrid work.
Key responsibilities
- Run the operational backbone of every retained search: co-develop the search strategy, prepare materials and outreach collateral, set up the ATS, structure the pipeline, hold the research and outreach cadence and keep each search on track from brief to onboarding.
- Own and improve the tooling stack, designing workflows, templates and trackers and building a playbook that makes quality repeatable.
- Produce and quality-control client-facing artefacts such as search strategy overviews, marketing materials, dashboards, long-lists, shortlists, candidate write-ups, interview notes, reference summaries and status reports.
- Manage candidate correspondence, coordinate scheduling across time zones, deliver outcomes and run feedback processes.
- Maintain pipeline metrics and search dashboards, run the firm's reporting rhythm and turn search data into actionable insights.
- Own data protection, candidate data hygiene, vendor onboarding and the administrative compliance needed for a cross-border firm.
Required profile
- 4+ years in a role demanding strong structure and judgement, such as management consulting, strategy, chief-of-staff, operations, executive search or in-house talent at a high bar; recruitment experience is welcome but not required.
- Experience standing up or rebuilding a process, workflow or operations function; an ATS or search process background is a plus.
- Excellent organisation, judgement and written communication, with discretion around sensitive networks.
- Comfortable with ambiguity and with using AI to build and scale workstreams.
What we offer
- Salary of USD 90,000-120,000, calibrated to the cost of living in your home city.
- Pension/401k contributions and health insurance.
- Enhanced holidays and a professional development budget.
