Receptionist – Front Desk Coordinator

About the role

Key responsibilities

• Answer, screen, and forward incoming calls on a multi‑line phone system.
• Greet and welcome all in‑person visitors.
• Process and distribute incoming mail and deliveries, including overnight shipping.
• Maintain conference‑room calendars and reserve dates/times.
• Provide administrative support across multiple departments and assist contract administrators.
• Maintain phone extension and mobile phone lists.
• Manage tasks and projects independently from start to finish.

Required profile

• Vibrant personality with a professional attitude and appearance.
• Ability to work autonomously with strong follow‑through and multitasking skills.
• Detail‑oriented, disciplined, and systems‑driven.
• Comfortable handling multiple assignments and prioritizing as needs arise.
• High school diploma or GED, or equivalent combination of education and experience.

Required skills

• Proficiency in Microsoft Word, Excel, Publisher, PowerPoint, and Outlook.
• Experience with Procore project management software.
