Legal Intake Specialist – Remote (Family Law & Criminal Defense)

About the role

Veta Virtual is seeking a Legal Intake Specialist to be the first point of contact for potential clients of a busy Virginia law firm specializing in family law, criminal defense, and estate planning. This remote, client‑facing position blends empathy with a sales mindset to convert inbound inquiries into booked consultations.

Key responsibilities

• Answer inbound calls, listen actively, and create a positive first impression.
• Qualify callers by asking targeted questions and determine fit for the firm’s services.
• Book consultation appointments, aiming for at least 15 bookings per week.
• Accurately complete intake documentation in Lawmatics before each consultation.
• Follow up with leads, send reminders, and answer pre‑consultation questions.
• Participate in weekly call review sessions for coaching and continuous improvement.
• Maintain professionalism and discretion with callers in stressful situations.

Required profile

• 3–5 years of experience in legal intake, legal administration, or client‑facing roles within a law firm.
• Hands‑on experience with Lawmatics or a comparable legal CRM.
• Strong consultative selling instinct, able to guide hesitant callers toward booking.
• Exceptional verbal English—warm, clear, confident, and professional.
