Event Coordinator

About the role

The Events Coordinator will support the planning and execution of over 300 medical education events across Texas and other locations. This hybrid role blends in‑person, virtual, and hybrid event management, requiring strong organization and communication skills.

Key responsibilities

• Manage the full event life‑cycle, including site selection, contract negotiation, F&B planning, A/V coordination, and vendor management.
• Oversee pre‑event planning, day‑of execution, and post‑event follow‑up, ensuring budgets are met and logistics documents are completed.
• Serve as the primary onsite contact, coordinating setup, tear‑down, and attendee greeting.
• Collect feedback from attendees, clients, and faculty to improve educational experiences.
• Analyze event data to produce ROI reports and update departmental presentations.
• Maintain branded inventory for events and place orders as needed.
• Travel 60‑70% annually to support event production and vendor logistics.

Required profile

• Bachelor’s degree or 2‑3 years relevant experience in event coordination.
• Exceptional time‑management, project‑management, and deadline‑driving abilities.
• Strong written and verbal communication, including interaction with senior leaders.
• Ability to work independently, make sound decisions, and adapt to changing environments.
• Physical ability to lift up to 20 lb, stand for long periods, and bend/twist during events.

Required skills

• Microsoft Word, Excel, PowerPoint, Outlook, Teams, and SharePoint.
• Zoom Meetings, Survicate, HubSpot, and Slido (preferred).
• Basic audio‑visual equipment inspection, inventory control, and troubleshooting.
