Document Control Specialist II

About the role

The Document Control Specialist II ensures that all project documentation is collected, verified, and distributed in accordance with corporate procedures and customer requirements. This position supports the creation of data books and the timely flow of technical information across project teams.

Key responsibilities

• Collect, verify, and submit required documentation to Project Management or directly to customers.
• Maintain document control processes per corporate and project standards, ensuring timely delivery.
• Organize filing, archiving, and tracking of technical documents throughout the project lifecycle.
• Facilitate information flow between clients, fabricators, vendors, subcontractors, and internal staff.
• Report document status against project schedules and milestones.
• Compile final product document packages for turnover.
• Manage company templates and server‑based information.
• Identify and drive improvements in data management systems and processes.

Required profile

• 2‑4 years of document control experience in the oil & gas industry.
• Basic knowledge of ISO 9001, ASME standards, and National Board pressure‑vessel requirements.
• Ability to work independently, prioritize tasks, and meet changing demands.
• Strong organizational skills with attention to detail.
• Fluent English (reading, writing, speaking); Spanish, Arabic, or Asian language a plus.

Required skills

• Proficiency with Document Control applications and EDMS platforms (SharePoint, Vault, Documentum, Open Text, Intelex).
• Advanced use of Microsoft Office suite (Word, Excel, Outlook) and Adobe tools.
• Fast, accurate data entry and large‑volume document scanning.
• Experience preparing clear reports, charts, and graphs.
