Business Operations Manager

About the role

The Business Operations Manager will act as a senior individual contributor responsible for keeping the day‑to‑day operations of a fast‑growing commercial landscaping and grounds‑maintenance company running smoothly. Reporting to the VP of Finance & Admin, you will oversee fleet management, vendor invoicing, cash collection, system hygiene and continuous process improvement.

Key responsibilities

• Run maintenance invoicing, collections follow‑up and negotiate past‑due balances with clients.
• Extract and analyse operational data weekly (open purchase orders, margin gaps, missing invoices) and present actionable recommendations.
• Identify and close operational gaps such as margin leakage, vendor non‑compliance, onboarding bottlenecks and billing errors.
• Document existing processes, redesign broken workflows and create SOPs to support scaling.
• Manage fleet repairs, registrations, insurance, claims and tow services.
• Operate the Aspire operations platform, conduct ticket reviews and chase missing invoices.
• Support sales and bid teams, update Pipedrive and FieldScore, and set up new properties and users in Aspire.
• Provide professional client support, routing concerns to appropriate internal teams.

Required profile

• 4–7 years of experience in business operations, finance, analytics or a cross‑functional ops role.
• Hands‑on experience with accounts receivable, collections or vendor management.
• Strong analytical mindset, able to surface problems and propose data‑driven solutions.
• Excellent written and verbal communication, comfortable holding firm collection conversations.
