Bilingual Front Desk & Intake Virtual Medical Assistant

About the role

We are seeking a compassionate, bilingual (English/Spanish) Front Desk and Intake Virtual Medical Assistant to join a well‑established nonprofit behavioral health organization. Working remotely, you will be the first point of contact for patients and families, guiding them through the intake process and ensuring a smooth, organized experience from inquiry to appointment.

Key responsibilities

• Answer and manage incoming calls, voicemails, emails, and online forms in both English and Spanish.
• Conduct initial telephone screenings, collect demographic and insurance information, and perform basic financial eligibility checks.
• Explain intake procedures, assist patients with completing forms and navigating the patient portal.
• Identify incomplete paperwork or insurance issues and coordinate resolution with back‑office staff.
• Schedule and reschedule appointments only after required documentation is received.
• Prioritize daily voicemails and inquiries, providing timely follow‑up.

Required profile

• Excellent verbal and written communication skills in English and Spanish.
• Strong empathy and ability to remain focused during emotionally charged conversations.
• Detail‑oriented with solid organizational abilities.
• Experience in a medical or behavioral health front‑desk environment preferred.

Required skills

• Proficiency in using patient portal systems and basic office software.
