Program/Event Coordinator – West Coast

About the role

Veeva Systems is seeking a West Coast Program/Event Coordinator to manage logistics for pharmaceutical educational events. The role involves coordinating venues, budgets, and communications to ensure events are delivered on schedule and within budget.

Key responsibilities

• Manage promotional educational programs in Veeva’s proprietary system.
• Assist customer representatives with budget planning and ensure compliance with business rules.
• Select and confirm venues, menus, audiovisual equipment, and transportation arrangements.
• Coordinate payments with venues, caterers, and other vendors.
• Maintain daily communication with sales representatives and faculty.
• Review venue contracts for accuracy and compliance.
• Ensure all event materials are complete and accurate.
• Cover after‑hours phone line on a rotating basis.

Required profile

• High school diploma or equivalent; college degree preferred.
• At least 1 year of experience in sales, hospitality, pharmaceutical, medical industry, or customer service.
• Experience with pharmaceutical speaker bureaus or event planning is a plus.
• Located in PST or MST time zones or willing to work in those zones.

Required skills

• Proficiency with MS Office (Word, Excel).
• Strong Excel abilities (financial calculations, pivot tables, VLOOKUP).
• Experience using Gmail.
