Customer Service & Operations Coordinator

About the role

The Defiant Ones is looking for a highly organized Customer Service & Operations Coordinator to support day‑to‑day order processing, inventory visibility, and compliance activities during a period of rapid growth. This position bridges customers, logistics partners, distributors, and internal teams to ensure smooth order execution and exceptional service.

Key responsibilities

• Process and manage customer orders accurately, serving as the primary point of contact for inquiries, shipment updates, and issue resolution.
• Coordinate with distributors, warehouses, and logistics partners to guarantee timely fulfillment.
• Maintain up‑to‑date customer records, order details, and operational documentation.
• Monitor inventory levels, assist with reconciliation, and support shipment coordination.
• Support compliance activities, including documentation management, licensing support, and audit‑ready record keeping.
• Assist with invoice coordination, customer account follow‑up, and basic financial reporting.

Required profile

• Proactive, detail‑oriented, and solutions‑focused.
• Ability to manage multiple priorities in a fast‑paced environment.
• Strong communication skills for interaction with internal and external stakeholders.
• Comfortable working both part‑time (summer) and transitioning to full‑time during a maternity‑leave coverage period.
