Contracts Specialist

About the role

The Contracts Specialist serves as the primary internal resource for multiple departments, reviewing and negotiating contracts to ensure compliance with legal, regulatory, and organizational standards. The role also manages contract records within the contract management system, maintaining accurate documentation and supporting the university’s contractual processes.

Key responsibilities

• Review contract submissions for completeness, request additional information, and standardize package submissions.
• Enter contracts into Agiloft, coordinate workflow queues, and shepherd contracts through the system, incorporating feedback from legal and information security teams.
• Communicate contract status, negotiations, and next steps with departmental stakeholders and CMS teams.
• Monitor termination, renewal, and cancellation dates; collaborate with liaisons to execute renewals or terminations.
• Maintain all contract documentation in the CMS, updating records with relevant developments.
• Assist end users and Step One teams with contracting needs, troubleshooting, workflow changes, and reporting.
• Perform CMS administration tasks, manage user profiles, and work with the CMS provider and ITS support on enhancements and releases.
• Develop and uphold service level agreements, provide reporting, training, and communication to departments.

Required profile

• Understanding of contract preparation, routing, and negotiation principles.
• Familiarity with procurement practices and regulations.
• Strong proofreading, administrative, and interpersonal skills.
• Ability to work independently, meet performance standards, and manage multiple workflows.
