About the role
The Staff Assistant provides comprehensive administrative support to the Chief of Office in the Office of the Under‑Secretary‑General. The role ensures smooth workflow, manages correspondence, and coordinates a variety of office activities within the Department of Political and Peacebuilding Affairs.
Key responsibilities
- Assist in overall department administration, managing priorities and workflow for the manager and the unit.
- Distribute incoming and outgoing code cables and handle correspondence for the Chief of Office.
- Support human‑resources matters and senior appointments.
- Manage the manager’s calendar, schedule meetings, and resolve conflicts.
- Serve as first point of contact for senior officials, both internal and external.
- Screen, prioritize, and route incoming correspondence, preparing background documents as needed.
- Oversee office support staff, assign tasks, review outputs, and provide training.
- Prepare, process, and classify confidential information, and proofread outgoing documents.
- Produce complex documents and reports using standard word‑processing tools.
- Maintain internal databases, update the department website, and generate statistical reports.
Required profile
- Professionalism with solid knowledge of general office and administrative support policies and procedures.
- Strong organizational skills and ability to manage multiple tasks under tight deadlines.
- Excellent written communication and editing abilities.
- Ability to work independently and represent the manager in a professional manner.
