About the role
Paramount Advertising is seeking an Executive Assistant to support a senior executive in New York’s Times Square office. The role demands high‑level discretion, excellent communication, and the ability to manage multiple priorities in a fast‑paced environment.
Key responsibilities
- Provide rapid, accurate responses to executive requests and follow up on action items.
- Coordinate complex travel itineraries, including flights, hotels, and ground transportation, and keep all parties informed.
- Manage calendar scheduling, arrange multi‑participant meetings across locations, and handle meeting logistics such as agendas, notes, and AV equipment.
- Process expense reports and ensure timely reimbursement.
- Assist in planning department events, off‑sites, and vendor coordination.
- Track key deliverables, deadlines, and prepare materials for the executive team.
- Maintain organizational charts, distribution lists, and draft department‑wide communications.
- Screen calls, emails, and packages, and partner with Ad Sales executives and their assistants.
Required profile
- Exceptional judgment and ability to handle confidential matters with discretion.
- Polished interpersonal presence; builds trust quickly and reads the room effectively.
- Strong organizational skills with the capacity to prioritize under pressure.
- High business insight and efficiency in all tasks.
