Operations Analyst

About the role

Personified is seeking an Operations Analyst to support client operations, resale, and systems administration. The role involves managing renewal pipelines, generating quotes, processing orders, and maintaining key tools such as Halo PSA and Google Sheets. It is ideal for a highly organized individual who quickly learns new tools and wants broad exposure to Managed Service Provider (MSP) operations.

Key responsibilities

• Manage the full client renewal lifecycle: track dates, coordinate outreach, draft SOWs, and secure client signatures.
• Maintain structured notes, reminders, and documentation to keep client‑facing teams aligned.
• Validate time‑tracking data and generate reports for accurate client billing and internal analysis.
• Create and maintain Google Sheets for forecasting, renewals, invoicing, and operational insights.
• Identify and document process improvements to make workflows repeatable and scalable.
• Generate hardware and software quotes using distributor portals (Ingram Micro, Pax8, D&H) and vendor programs.
• Process purchase orders, coordinate with vendors, and keep clients and internal stakeholders updated on order status.
• Manage software license renewals for platforms such as Google, Microsoft, and Meraki.
• Maintain detailed records of quotes, orders, and vendor agreements in Halo PSA and Google Drive.
• Resolve order discrepancies and procurement inquiries promptly and professionally.
• Support configuration, maintenance, and day‑to‑day upkeep of Halo PSA.
• Perform data reviews and extracts from existing tools, ensuring accurate transfer to Halo PSA for reporting.
