About the role
The Maintenance Administrative Assistant provides operational and administrative support to the Maintenance Coordinator, ensuring proper planning, tracking and control of maintenance activities across the company's facilities.
Key responsibilities
- Assist in coordinating maintenance work for Ideal Market locations and other entities such as KBM, Campo Rico, La Chula, Orleans Ave, Cricket.
- Support scheduling and follow‑up of building inspections to meet established requirements.
- Receive, log and monitor maintenance requests, helping prioritize and assign work orders.
- Help plan, organize and control daily maintenance activities and track execution.
- Coordinate with external providers when subcontracting is required.
- Maintain up‑to‑date supplier, contact and service databases.
- Assist in cost estimation for work orders, including labor, materials and contracted services.
- Support tool, equipment and supply requisition and inventory management.
- Track open, closed and pending work orders and prepare weekly reports for management.
- Validate maintenance service invoices and manage warranty documentation.
- Contribute to preventive maintenance planning and perform other related administrative tasks.
Required profile
- 1‑2 years of experience in administrative or operational support roles, preferably in maintenance or logistics.
- Strong organizational and time‑management abilities.
- Analytical mindset for process tracking and information control.
- Reliable, detail‑oriented and able to work collaboratively.
- Basic to intermediate English proficiency.
